What is ITIN renewal

A quick refresh
of your existing tax ID

An Individual Taxpayer Identification Number doesn’t last forever. The IRS expires ITINs in two ways: numbers unused on a federal return for three consecutive years are deactivated, and entire batches expire by middle digits on a published schedule. Filing with an expired number means refunds get held and credits are lost.

If you’re wondering how to renew an ITIN, the answer is straightforward through a Certifying Acceptance Agent. The same Form W-7 you originally filed is used, with the renewal box checked. Your prior nine digits are reissued under the same record — this is reactivation, not reassignment. Expired ITIN renewal California filers get the same number back.

As a CAA, our San Jose office authenticates your passport in person and submits a Certificate of Accuracy to the IRS Austin ITIN unit — your original document never leaves the office. Need disability or legal-document services to file alongside your renewal? Our sister office at TrustPoint Disability and Legal Services handles those in coordination with our CAA work.

Did your ITIN expire

The six triggers
that mean it’s renewal time

If any of these match your situation, your ITIN needs to be renewed before you file your next federal return. We’ll confirm the trigger and prepare the W-7 with the correct renewal box.

Three-year non-use rule

Not used on a return in three years

Under the three-year non-use rule, any ITIN absent from a filed federal return for three consecutive years expires automatically. We restore the same number through a clean W-7.

Passport · Last filed return year · Old letter
Middle-digit batch

ITIN middle digits expired

The IRS retires ITINs by middle-digit groups (88, 90, 91, 92, 94–99) on a published schedule. Even active filers must refresh if their batch is up.

Passport · Old ITIN card or letter
CP-48 notice

You got an IRS Notice CP-48

A CP-48 means the IRS expects your spouse or dependent ITIN reactivated before the next return is processed. Don’t ignore it — refunds and Child Tax Credit eligibility are at risk.

Passport · CP-48 notice · Current return
Spouse on joint return

Spouse’s number expired

Foreign spouses on a joint Form 1040 must hold an active ITIN at filing. Reactivate before mailing or the joint return cannot process under MFJ.

Passport · Joint 1040 · Marriage record
Dependent claimed

Dependent’s number expired

Dependents claimed for CTC, ODC, or AOTC need an active ITIN at filing. Late refresh disqualifies the credit on this year’s return.

Passport · US return · Birth record
Return rejected

Return bounced for expired ITIN

The IRS rejected your e-filed return or held your refund because of an expired number. We refresh the ITIN and help you refile cleanly.

Passport · Rejection notice · Original return
How renewal works

Four steps from walk-in
to mailed renewal

The whole appointment runs about 30 minutes. You leave with your passport, copies of your renewed W-7 and supporting return, and a tracking receipt.

1

Bring old ITIN and passport

Schedule online or by phone. Bring your prior ITIN letter, unexpired passport, and any IRS notice you received (CP-48 if you have one).

2

Verify ID in office

As your CAA we authenticate your passport on site and prepare a Certificate of Accuracy — the original never leaves your hands.

3

Prepare W-7 with renewal box

We complete Form W-7 with the renewal selection, attach your supporting return (or qualifying exception), and review every line before signing.

4

Mail to IRS Austin

We mail with tracking. The IRS typically reissues your same number in seven to eleven weeks — longer during filing season.

  • Prior ITIN letter or card showing the number
  • The federal return your renewed ITIN attaches to
  • Roughly 30 minutes for the appointment

If applicable

Bring what fits your case
  • IRS Notice CP-48 or any rejection letter

  • Form 1042-S, 1099-INT, or 8288-A statements
  • The original return that bounced (if rejected)

Frequently asked

ITIN Renewal Application
San Jose — questions answered

How do I know if my ITIN expired?
Three triggers. One: the three-year non-use rule. Two: the IRS expired your middle-digit batch (88, 90, 91, 92, 94 through 99). Three: you received Notice CP-48. If any match, your ITIN renewal needs to happen before your next return is filed.
Can I renew my ITIN online, or does it have to be in person?
There is no online ITIN renewal. The IRS requires a paper Form W-7 mailed with original ID or certified copies. The fastest path is in-person renewal with a Certifying Acceptance Agent — we authenticate your passport on site so you don’t have to mail it.
How long does ITIN renewal take?
From the date the IRS receives your renewal package, processing typically runs seven to eleven weeks. During filing season (January through April) the wait can stretch longer. We mail with tracking so you know exactly when the package arrived in Austin.
Will I get the same ITIN number, or a new one?
The same number. Renewal restores your prior nine digits under your existing taxpayer record — this is reactivation, not reassignment. The IRS does not issue a new ITIN through the renewal track.
Do I need to renew my ITIN to claim the Child Tax Credit?
Yes. Child Tax Credit (CTC), Other Dependent Credit (ODC), and AOTC all require the dependent’s ITIN active on the filing date. An expired number disqualifies the credit — refresh before filing season starts.
Do I have to attach a tax return for renewal?
Usually yes. Most renewals attach a current-year return because the W-7 is mailed alongside it. Renewals without a return only work if you fit an IRS exception (1042-S withholding, treaty benefits, third-party reporting). We’ll tell you which path applies before you sign.
Do I have to mail my passport for renewal?
Not when you renew with a Certifying Acceptance Agent. We authenticate your passport on site and submit a Certificate of Accuracy to the IRS in place of the original. Your passport stays with you — that’s the entire point of the CAA program.
Where can I file an ITIN renewal application in San Jose?
Our San Jose office at 434 Blossom Hill Road handles every ITIN renewal application San Jose filers bring in. We serve the entire Bay Area — Sunnyvale, Santa Clara, Milpitas, Cupertino, Mountain View, Campbell, Los Gatos, and Fremont. Walk in during business hours or book online.
